Job Description                       

Are you an experienced HVAC Service Coordinator with a proven background in scheduling engineers, managing service workloads and coordinating planned and reactive maintenance?

Do you have experience working within an air conditioning, refrigeration, heating, ventilation or wider HVAC service environment and enjoy keeping a busy engineering operation running efficiently?

We are partnered with a highly respected and award-winning UK HVAC business with an excellent reputation for delivering technically led heating, cooling and ventilation solutions across the built environment.

This is an excellent opportunity for an experienced Service Coordinator to join an established service operation based in Wimbledon, South West London.

Our client is particularly interested in individuals who already understand the demands of HVAC service coordination, can confidently manage engineer scheduling and can make an immediate contribution to a busy and professional team.

The Opportunity                     

Working as part of an established service team, you will play a central role in coordinating the day-to-day activities of a busy team of HVAC service engineers.

 

The position involves managing engineering diaries, scheduling planned preventative maintenance (PPM), coordinating reactive breakdowns and ensuring engineers are allocated effectively to meet customer requirements.

 

You will act as an important link between customers, engineers and internal service teams, ensuring work is accurately scheduled, priorities are managed and service activity progresses efficiently from initial enquiry through to completion.

 

This is a hands-on coordination role requiring someone who understands how HVAC service departments operate and can confidently balance planned workloads with changing customer demands and urgent callouts.

 

Responsibilities

 

  • Plan, schedule and coordinate HVAC service engineers across planned preventative maintenance, reactive breakdowns, repairs and associated service activities.
  • Manage engineer diaries, workloads and appointments to maximise productivity and ensure effective service delivery.
  • Create, allocate and maintain service work orders, ensuring engineers have the relevant job information and instructions.
  • Respond to incoming service requests, assess priorities and arrange appropriate engineering attendance.
  • Liaise directly with engineers, customers and internal service teams to communicate schedules, job progress and changes in requirements.
  • Coordinate emergency callouts and manage changes to engineering schedules where required.
  • Arrange and track replacement parts and materials to support planned and reactive service work.
  • Review completed engineer reports, service paperwork and associated documentation to support accurate job closure and invoicing.
  • Assist with repair quotations and associated service administration where required.
  • Maintain accurate service records and support the smooth day to day operation of the wider service department.

 

 

Knowledge, Skills and Experience Required

 

Essential experience and attributes include:

 

  • Proven experience in a Service Coordinator, Service Scheduler, Service Controller, Service Planner or similar position within an HVAC or closely related mechanical service environment.
  • Previous responsibility for scheduling and coordinating mobile service engineers, including managing diaries, appointments and engineering workloads.
  • Experience coordinating planned preventative maintenance (PPM), reactive breakdowns and service or repair visits.
  • A practical understanding of HVAC service operations, ideally gained within air conditioning, refrigeration, heating, ventilation or associated building services.
  • Confident communicating directly with engineers, customers and internal teams to resolve scheduling challenges and maintain service standards.
  • Strong organisational skills with the ability to prioritise competing demands and respond effectively to changing workloads.
  • Good administration and IT skills, including experience working with service management, scheduling or job allocation systems.
  • A proactive, professional and solutions focused approach, with the confidence to take ownership of day-to-day service coordination.

 

Additional experience that would be advantageous:

 

  • Previous exposure to commercial HVAC equipment, chillers, heat pumps or air handling systems.
  • Experience within a specialist HVAC maintenance contractor, facilities maintenance business or technical building services provider.
  • Familiarity with service quotations, parts ordering, engineer reports and invoicing processes.

 

Specialist chiller experience is not essential. The priority is demonstrable HVAC service coordination experience and the ability to manage engineers and service workloads effectively.

 

 

The Person

 

This opportunity will suit an experienced Service Coordinator who enjoys being at the centre of a busy engineering operation and takes pride in keeping customers, engineers and service schedules running smoothly.

 

You may currently be working within an air conditioning contractor, refrigeration service business, heating and ventilation specialist or wider HVAC maintenance provider.

 

You will understand the practical challenges of scheduling field service engineers, balancing planned maintenance with reactive demands and ensuring customers receive a professional and responsive service.

 

Most importantly, you will already have relevant coordination experience, be confident managing your own workload and be comfortable contributing from an early stage without the need for extensive industry training.
